These terms are written plainly. Read them before we start — they explain exactly how we work, what you get, and what both sides are responsible for.

Overview

These Terms of Service govern the relationship between SilentCopy ("we," "us," or "our") and any individual or business ("client," "you") that engages our services.

SilentCopy operates on a subscription-based model. We design, build, host, and maintain your website on your behalf. Your website remains live for as long as your subscription is active and in good standing.

By completing our intake form, confirming work verbally, or making any payment toward a SilentCopy service, you agree to these terms in full.

If anything here is unclear, ask before we start. We would rather answer a question upfront than have a misunderstanding later.

What We Build

SilentCopy designs and builds clean, modern websites for small businesses. Every website we deliver is:

  • Custom designed — no recycled templates
  • Mobile-friendly and responsive across all screen sizes
  • Built to load fast and communicate your business clearly
  • Hosted and maintained by SilentCopy for the duration of your subscription

We assess each project individually. Pricing is based on the complexity of the work requested. Some projects may fall outside our current scope — if this is the case, we will tell you honestly and, where possible, refer you to a suitable alternative provider.

Not every website request is something we can take on. We will always be upfront about what we can and cannot build rather than overpromise and underdeliver.

How It Works

Our process is straightforward and designed to keep things simple for you:

  • Step 1 — Initial conversation. We talk about your business, what you need, and whether we're the right fit.
  • Step 2 — Intake form. If you'd like to proceed, you complete our intake form. We can walk you through it together or share it for you to complete in your own time.
  • Step 3 — We build. Once the form is complete, we get to work. Delivery typically takes up to one week depending on the scope.
  • Step 4 — Preview & review. We present the finished website to you — either in person or by making it accessible via a staging link — so you can see it before it goes live.
  • Step 5 — Revisions. You give us your feedback and we make the agreed changes.
  • Step 6 — Go live. Once you are satisfied and your subscription fee is paid, your website goes live and stays live.
Your website goes live only after payment is confirmed. The subscription fee must be paid in full before we publish your site.

Subscription & Pricing

SilentCopy operates on a subscription basis. Your website is built, hosted, and maintained by us — and remains online for as long as your subscription is active.

Pricing is determined by the complexity of your website. Simpler sites cost less. More complex builds cost more. The price is agreed upon before any work begins and confirmed during the intake process.

Subscription fees are due on the agreed billing cycle. Failure to pay on time will result in your website being placed on hold until payment is received. If a website is taken down due to non-payment, a reactivation fee applies — see Section 07.

All fees are quoted in Botswana Pula (BWP) unless otherwise agreed in writing.

We do not charge hidden fees. The price we agree on is the price you pay. Any changes to scope that affect cost will be communicated and agreed upon before additional work is carried out.

Ownership & Hosting

This is important to understand clearly: SilentCopy retains ownership of all websites we build. Clients do not own the website, the code, or the hosting environment.

What you receive is the right to use your website for as long as your subscription is active. Think of it like a lease — we build it, we maintain it, and we keep it running. You use it to represent your business online.

  • If your subscription lapses or is cancelled, your website will be taken offline
  • Website files and code remain the property of SilentCopy at all times
  • Clients do not receive source code, login credentials to the hosting environment, or transferable website files as part of the standard subscription

SilentCopy retains the right to feature your completed website in our portfolio and across our social media platforms. If you would prefer we do not, please let us know in writing before your site goes live.

Subdomain & Domain

Your website will be hosted on a SilentCopy subdomain by default. This will take the format of:

  • yourbusiness.silentcopy.com
  • or a similar structure as agreed during onboarding

The subdomain is provided as part of your subscription. It is not transferable and remains under SilentCopy's control at all times.

If you would prefer to use your own custom domain (e.g. yourbusiness.com or yourbusiness.co.bw), this can be arranged at an additional cost. Custom domain setup and ongoing management will be discussed and agreed upon separately.

The subdomain is yours to use while your subscription is active. If your subscription ends, the subdomain will be deactivated along with your website.

Suspension & Reactivation

If your subscription payment is overdue or your account is not in good standing, SilentCopy reserves the right to place your website on hold. A website on hold will not be accessible to the public until the outstanding balance is settled.

During the first 7 days after suspension, you may request reactivation of your website by paying the outstanding subscription balance plus a reactivation fee of BWP 350. This fee is non-negotiable and must be paid in full before the website is restored.

If payment is not received within 7 days of suspension, SilentCopy reserves the right to permanently delete your website and all associated files from our servers. After deletion, recovery will not be possible, and any future website setup may require a new project at full cost.

If a website has been taken down — whether due to non-payment, account suspension, or any other reason — and you wish to have it reactivated, a reactivation fee of BWP 350 applies. This fee is in addition to any outstanding subscription balance owed.

  • Reactivation fees are non-negotiable and must be paid in full before the website is restored
  • SilentCopy cannot guarantee that all content will be preserved after an extended period of suspension
  • Reactivation does not reset your billing cycle — your subscription resumes from the point of reactivation
Reactivation fee: BWP 350. This applies to any website that has been placed on hold and requires restoration to live status.

Revisions

After the initial website is presented to you, you will have the opportunity to request changes before it goes live. A reasonable number of revision rounds is included — this will be agreed upon during the intake process.

A revision means adjustments to the existing design and content — things like changing text, swapping images, adjusting colours, or rearranging sections. A full redesign or significant change in direction after work has commenced is not a revision and may attract additional charges.

Please consolidate your feedback. Clear, organised feedback gets changes done faster and more accurately than scattered messages sent one at a time.

Once you have approved the website and it has gone live, any further changes will be handled as part of your ongoing subscription or quoted separately depending on the nature of the work.

Client Responsibilities

A good website requires good input. As a client, you are responsible for:

  • Completing the intake form accurately and in full
  • Providing all required content — text, images, logos, and any other brand assets — in a timely manner
  • Ensuring that all content you provide is legally yours to use
  • Responding to review requests and providing feedback within a reasonable timeframe
  • Keeping your subscription payments up to date
  • Notifying us promptly if any of your business details change and need to be reflected on your site
Delays caused by late or missing content from the client will affect the delivery timeline. SilentCopy is not responsible for delays that are outside our control.

Referrals

SilentCopy assesses every project individually. If a request falls outside our current capabilities — whether due to technical complexity, scope, or specialisation — we will be transparent about this and will not take on work we cannot deliver to a proper standard.

In such cases, we may refer you to another provider better suited to your needs. Any referrals made are provided in good faith as a courtesy. SilentCopy takes no responsibility for the quality, pricing, or outcome of any work carried out by a referred third party.

We currently maintain awareness of providers such as Weblogic for more complex or enterprise-level website requirements.

Confidentiality

All business information, project details, and content shared with us during onboarding and throughout the working relationship is treated with discretion. We do not share your information with third parties beyond what is strictly necessary to deliver your service.

Clients are equally expected to keep any SilentCopy internal processes, pricing structures, and operational documents confidential.

Cancellations

You may cancel your subscription at any time by notifying us in writing via email or WhatsApp. Cancellations take effect at the end of the current billing period unless otherwise agreed.

Upon cancellation:

  • Your website will be taken offline at the end of the paid period
  • No refunds will be issued for time already paid and used
  • Website files, code, and hosting access remain with SilentCopy

If you cancel before your website has gone live and work has already commenced, the cost of work completed up to that point may be charged at our discretion.

Cancellations must be communicated in writing to be valid. Verbal requests alone will not be accepted as formal cancellation.

Limitation of Liability

SilentCopy will carry out all work in good faith and to the best of our ability. However, we are not liable for:

  • Loss of revenue or business resulting from website downtime, errors, or interruptions
  • Issues arising from third-party platforms, tools, or service providers used in the delivery of your website
  • Errors in content that was provided by the client
  • Any indirect, consequential, or incidental losses beyond the value of the subscription fees paid

Our total liability in any circumstance is limited to the amount paid by the client for the subscription period in question.

Governing Law

These Terms of Service are governed by and construed in accordance with the laws of the Republic of Botswana.

Any disputes will first be approached through direct, good-faith negotiation between both parties. If a resolution cannot be reached, the matter may be referred to the appropriate legal authority in Botswana.

Changes to These Terms

SilentCopy may update these Terms of Service from time to time to reflect changes in how we operate, legal requirements, or improvements to our service. The most current version will always be published at silentcopy.co.bw/terms.

Where changes are material, we will make a reasonable effort to notify active clients. Continued use of our services following any update constitutes acceptance of the revised terms.
